When you join Make Waves Academy...
You’re choosing a team dedicated to unlocking every student's full potential. As a Compliance and Assessment Administrator, you will ensure our academy meets its critical regulatory requirements by driving projects that boost compliance, efficiency, and organizational effectiveness. Working directly alongside the Director of Data and Accountability, you will support the design, development, and active management of systems and protocols that keep our school running smoothly and transparently.
A primary focus of your role will be the strategy and execution of mandated assessments. You will lead the operational lifecycle of both classroom-based and state-mandated tests, ensuring flawless execution while translating student metrics into high-level reports for our senior executive leaders.
What you’ll be doing...
- Driving Assessment Excellence: Oversee the logistics and end-to-end administration of state and compliance-related tests (including CAASPP, ELPAC, diagnostics, and interim assessments). Serve as the primary LEA CAASPP Coordinator and tertiary ELPAC Coordinator.
- Managing Compliance & Projects: Lead and support critical school compliance workflows, including audits, oversight visits, WASC accreditation, LCAP (Local Control Accountability Plan), Williams Inspections, Brown Act protocols, Civil Rights Data Collection (CRDC), and the School Accountability Report Card (SARC).
- Empowering Faculty & Staff: Design and deliver training resources for faculty regarding rigid testing procedures, state assessments, and programmatic data security, ensuring all compliance documentation is flawlessly maintained.
- Optimizing Data Systems: Track, clean, and analyze complex student achievement data. Lead data dives, maintain technical documentation, and extract actionable test scores to assist leadership with student course placement and English Language Development (ELD) reclassification.
- Continuous System Improvement: Research national best practices for data infrastructure and propose research-backed frameworks to senior leadership to foster continuous school-wide learning cycles.
- Streamlining Policy & Communications: Handle state-mandated communications and stakeholder notifications, ensuring deadlines for web postings, state submissions, and compliance timelines are consistently met.
What we’re looking for...
You are a process-driven, highly organized professional who thrives in a fast-paced environment and treats strict deadlines as set in stone. You possess an exceptional eye for detail, catch errors that others miss, and know how to maintain strict confidentiality of sensitive data. You have strong interpersonal and collaboration skills, working effectively and harmoniously with individuals from highly diverse cultural, socioeconomic, and ethnic backgrounds.
You’ll need to have:
Bachelor’s degree in Business Administration, Public Administration, Data Analytics, Legal Studies, Education, or a related field.
2+ years of professional experience, with demonstrated mastery in at least two of the following core areas:
- Compliance & Auditing: Managing strict regulatory frameworks, maintaining organizational compliance, or preparing files for external audits (e.g., experience as a Paralegal or Compliance Specialist).
- Logistical Project Management: Navigating complex projects with multiple moving parts, strict deadlines, and various stakeholders (e.g., coordinating large-scale corporate events or operations).
- Data Analysis & Reporting: Tracking, cleaning, and analyzing large datasets, and translating those metrics into clean, readable presentations or annual reports for senior leadership.
- Training & Onboarding: Presenting technical information, hosting interactive workshops, or training staff on new internal software, regulations, or procedures.
- Advanced technical agility within Excel/Google Sheets and experience navigating complex databases or public-facing data systems.
Even better if you have one or more of the following:
- Direct experience acting as a Site Testing Coordinator or LEA Coordinator within California's public or charter school networks.
- Strong communication and executive presence, with the ability to simplify complex legal/state regulations into plain language and present clean data summaries to school leadership.
