When you join Making Waves Academy
You want more than a desk job. You want a career where your expertise directly changes a student's trajectory. A place where "highly organized" is a core value, not just a line on a resume. At Making Waves Academy, we power and empower our students' futures by connecting them to the best post-secondary pathways—from top universities to immediate career opportunities. Our team believes that seamless administration is the silent engine of student success. In the high-stakes world of applications and exams, we come together to build trust and eliminate roadblocks for our students, everywhere & always.
💡 What you’ll be doing…
You won't be climbing poles, but you will be building and maintaining the critical systems that keep our College and Career Counseling Center running at peak performance. Your responsibilities will include, but are not limited to:
- Leading High-Stakes Exam Administration: Planning, organizing, and flawlessly administering registration and test days for the PSAT, SAT, ACT, and AP exams.
- Creating, implementing, and continually adapting administrative and communication systems (e.g., Newsletters, ParentSquare) based on the dynamic needs of the Center.
- Providing crucial support in processing college applications, scholarship applications, and standardized tests.
- Compiling and maintaining highly confidential student records in Naviance and other case management systems, ensuring total accuracy and compliance.
- Supporting the planning and execution of large-scale college and career readiness events, workshops, fairs, and special programs.
- Creating and managing engaging communications (newsletters, wall displays, flyers) and professional reports to meet engagement goals.
- Providing individual and group coaching to students and families on post-secondary pathway exploration and college eligibility, including developing college/workplace readiness competencies.
🎯 What we’re looking for…
You view administration as a precision sport. You know that success in student services depends on flawless execution, exceptional organizational skills, and a genuine passion for guiding young adults. You are proactive, thrive under pressure, and take pride in knowing your work directly affects college admissions.
You’ll need to have:
- A Bachelor's Degree in a relevant field (Education, Business Administration, etc.), and 3+ years of experience in a high-volume administrative or program coordination role, preferably in an educational setting.
- Proven ability to implement and adapt administrative systems and manage multiple complex projects simultaneously.
- Exceptional ability to build immediate rapport and communicate clearly with students, families, and staff from diverse backgrounds.
Even better if you have one or more of the following:
- Experience guiding students through the college admissions process, including a strong understanding of California's "A-G" requirements.
- Proven experience working with college planning software such as Naviance and general platforms like PowerSchool or Canvas.
- Experience in a coaching or mentoring capacity with young adults.
- Ability to create professional-looking materials (design skills helpful).
If this role sounds like a fit for you, we encourage you to apply even if you don’t meet every “even better” qualification listed above.
